How to Map and Manage Room Rates in SiteMinder Channel Manager

Introduction to mapping to your connected PMS, RMS or CRS

If you have a property management system (PMS), revenue management system (RMS) or central reservations system (CRS) integrated with the SiteMinder platform (Distribution > Connectivities), you must map all your required room rates in your platform to the corresponding room rate in your connected system.

 

This will ensure your inventory grid reflects accurate availability and rates, and updates are sent to your connected channels. It will ensure any new reservations made via your connected channels are sent directly into your connected system, reducing the likelihood of overbookings or missed reservations.

 

Before mapping to your PMS, RMS or CRS, make sure you:

  • Create rooms and rates in your platform and in your PMS, RMS or CRS — rooms and rates must be configured in the same manner across your platform, channels, and integrated systems.

  • Map your room rates to your PMS, RMS or CRS before mapping your channels — this helps to ensure that the inventory in your systems is synchronised and up to date.

To help prevent cross-mapping and overbookings, rooms and rates must be configured in the same manner across your platform, channels, and integrated systems.

 

Map your room rates to your connected PMS, RMS or CRS

Follow the steps below to map your room rates to your connected PMS, RMS or CRS.

  1. Go to Distribution > Connectivities and click on the name of your connected system.

  2. Go to the Rooms and rates mapping tab.

  3. Under the Mapping status filter, select Unmapped.

  4. Locate the room rate you want to map and click on Map to < name>.

  5. Click on Save.

  6. Repeat steps 4 through 6 for each room rate that you want to map.

  7. Once you have mapped all required room rates, initiate a 'push' of all inventory from your connected system to ensure the most up-to-date information is sent through. If you do not know how to do this, please contact your system provider’s support team.

Common mapping fields

  • Room code — the code assigned to this room type in your PMS, RMS or CRS.

  • Rate code — the code assigned to this rate plan in your PMS, RMS or CRS.

  • Inventory code — the code assigned to this room rate in your PMS, RMS or CRS.

To help avoid overbookings or missed reservations, you must map all of your required room rates from your platform to your connected PMS, RMS or CRS that you have connected in Distribution > Connectivities.

 

If you have unmapped rates:

  • Availability, rate and restriction updates made in your connected PMS, RMS or CRS will not be sent to your SiteMinder platform or to your connected channel(s), and vice versa.

  • If an unmapped rate is booked on a connected channel, the reservation will not be sent through to your connected PMS, RMS or CRS (if applicable).

To review and map any unmapped rates, go to Distribution > Connectivities > Room and Rate Mapping > Unmapped.


If you have unwanted room rates in your channel(s) or connected systems, you should delete them to avoid any potential issues. Contact the support team of the channel or system provider if you need help with this.

 

Set up reservation delivery failure emails

You can choose to receive email notifications if a reservation fails to be delivered from our platform to your connected PMS, RMS or CRS..

 

To set up these Reservation delivery failure emails , follow the steps below.

  1. Go to Distribution > Connectivities and click on the name of your connected system.

  2. Go to the Settings tab.

  3. Locate the Reservation delivery failure emails section and click on its edit button.

  4. Add recipient e-mail addresses, as required — a maximum of five in each of the five fields.

  5. Click on Save.

     

     

Before you start mapping

Before mapping to a channel:

  • Create room rates in Rooms and rates > Rate plans

  • Create matching room rates in your channel's extranet

  • Check the code to ensure correct mapping

⚠️ Important: If you use a property management system (PMS), revenue management system (RMS), or central reservations system (CRS), you must also map your rates in Distribution > Connectivities. If you don't:

  • Updates made in your connected systems won't sync with your platform or channels

  • Reservations for unmapped rates won't be sent to your connected systems

  • This can lead to overbookings and missed reservations

Map your room rates to a channel

To map your room rates to a channel:

  1. Go to Distribution > Channels.

  2. Click the ellipsis button (three dots button) next to the channel.

  3. Select Edit room rates mapping.

  1. Use the Mapping status toggle to select Unmapped.

  2. Find your platform room rate in the Channel manager column on the left, then on the right, click Map to [channel name].

  3. Click Yes to Start updating channel.

  4. Select the corresponding channel rate from the drop-down menu.

  5. Review and enter any additional settings for the channel rate.

  6. Click Save.

Once you map a room rate to a channel, a “channel room rate” will be created.

 

💡 Map a single room rate: For an easy way to map a single room rate, such as for any new rate plans or promotional rates you add, you can map from your rate plans page:

  1. Go to Rooms and rates > Rate plans.

  2. Click on the room rate.

  3. Select Map to channel > choose your channel, then save the channel rate configuration.

 

Note: If you have created a matching room rate in your channel's extranet but cannot see it when trying to map, ensure the rate is active in the channel's extranet and wait at least 60 minutes.

 

Check your mapping

After mapping, check that:

  • All required room rates are mapped to the channel. There should be no unmapped rates (all derived and linked rates — common with Expedia — must also be mapped)

  • The correct rates and restrictions appear in your Inventory grid

  • The channel is enabled in Channel settings

Check that all your rates are mapped correctly:

  1. Go to Distribution > Channels.

  2. Select Edit room rates mapping.

  3. Use the Mapping status toggle to select Unmapped.

  4. Check that all required rates are mapped.

If you find unmapped rates, either:

  • Create matching rates in your platform to keep selling them

  • Remove them from your channel's extranet

Check your rates and restrictions

To check inventory for your mapped rates are correct:

  1. Go to Distribution > Inventory.

  2. Filter by channel.

  3. Check the values for rates and restrictions.

💡 Note: If you use a property management system (PMS), revenue management system (RMS), or central reservations system (CRS):

  • Check with your provider about what updates are sent to SiteMinder

  • Only make manual updates in your platform for inventory values not managed by your connected system

Enable the channel

After mapping all required room rates and checking that rates, availability, and restrictions are correct, enable the channel to start selling.

 

To enable the channel, go to Distribution > Channels > find the channel and click the ellipsis (three dots button) > select Update Channel settings > click the “Enable the connection to [channel name]” button.

 

 

Manage your channel room rates

Update a channel room rate

To update settings for an existing channel room rate:

  1. Go to Distribution > Channels.

  2. Click the ellipsis button (three dots button) next to the channel.

  3. Select Edit room rates mapping.

  4. Click on the channel rate.

  5. Click Configure.

  6. Update your settings.

  7. Click Save.

Disconnect a channel rate

To disconnect a channel room rate:

  1. Go to Distribution > Channels.

  2. Click the ellipsis button (three dots button) next to the channel.

  3. Select Edit room rates mapping.

  4. Click on the channel rate.

  5. Click Disconnect from channel.

  6. Review the warning and click Disconnect.

⚠️ Note:

  • Disconnecting a rate: Stops all inventory updates from your platform to the channel, but the rate remains on the channel

  • Remove the room rate from the channel's extranet before disconnecting it from your platform

  • You can always remap a channel rate at a later time if needed
