Connecting Microsoft Exchange Online to Your PMS

This guide provides steps for setting up your Property Management System (PMS) to send and receive emails through your Microsoft Exchange Online account. Please note that these instructions are applicable only if SmartHOTEL (formerly Hoteliers.com) manages your email. For further assistance, please contact your PMS provider.


Important Notes:

  • SmartHOTEL only supports questions related to sending and receiving emails via your browser. We do not support connections to email programs (like Outlook) or systems such as your PMS.
  • If SmartHOTEL manages your email, two-step verification is always turned on.

Step 1: Enabling SMTP in Office 365

Note: If your email is managed by SmartHOTEL, please contact support@smarthotel.nl to perform this step for you.

To enable SMTP in Microsoft Office 365:

  1. Open the Microsoft 365 Admin Center.
  2. Go to Users > Active Users.
  3. Select the user for whom you want to enable SMTP.
  4. In the flyout menu, click on Mail.
  5. Under the Email apps section, click on Manage email apps.
  6. Check the box for Authenticated SMTP.
  7. Click Save changes.

Step 2: Add an App Password

When two-step verification is turned on (as it always is for emails managed by SmartHOTEL), your PMS cannot connect to Microsoft Exchange Online with the regular password. You will need to generate an app password.

How to Create an App Password:

  1. Follow the Microsoft guide on Using App Passwords with Apps that Don't Support Two-Step Verification to generate an app password.
  2. Use this app password instead of your regular email password when connecting to your PMS.

Step 3: Add the Office 365 Settings to Your PMS

Ask your PMS provider where to enter the following settings:

  • Host: smtp.office365.com
  • Port: 587
  • Security: TLS
  • Username: Your email address
  • Password: The app password you created in Step 2 (or your regular email password if two-step verification is turned off).

If SmartHOTEL manages your email, two-step verification is always enabled.
