Why Guest Data Is Replaced by "GDPR"
You may notice that when searching for a reservation, the Name column shows "GDPR" instead of the guest’s name. Even when opening a reservation, the guest’s personal details will display "GDPR" under Guest Details, where the guest’s name and other personal information used to be visible. This change is a result of the GDPR (General Data Protection Regulation) legislation.
In the Hoteliers.com Dashboard, the personal details of guests remain visible for a maximum of 24 months (2 years) after the guest’s departure. Once the 24-month period has passed, the personal data is automatically replaced by "GDPR" to comply with data privacy regulations.
How Does It Look in the Dashboard?
- In the booking overview: The guest’s name and personal details will show as "GDPR" after the data retention period.
- In the reservation details: When opening a reservation, the Guest Details section will display "GDPR" instead of the personal information previously shown.
Special Cases: Guest-Initiated Data Deletion
There are two scenarios where guest data may be converted to "GDPR" earlier than the 24-month standard period:
- Guest-Managed Bookings: When a guest books a stay, they can manage their bookings via My Bookings in the booking engine and view their personal details.
- Guest-Initiated Data Deletion: After canceling their booking, or 2 months after their stay, guests have the option to delete their personal data. If a guest chooses to delete their own data, the information is immediately converted to "GDPR" in the Hoteliers.com Dashboard.
