Guests may cancel their reservations by contacting the hotel via email or phone. Reservations made through the Hoteliers.com booking engine or marketing platform can be easily cancelled by the hotel using the dashboard.

1. The Importance of Cancelling Reservations

It is essential to cancel reservations in the Hoteliers.com extranet for the following reasons:

  • No Review Requests Sent: When a reservation is cancelled, the guest will not receive a request to leave a review, which helps manage guest communication.
  • Accurate Revenue Reporting: The revenue generated via the booking engine and marketing platform is calculated by the booking revenue. Cancelling a reservation ensures that the system automatically removes the associated revenue from the total turnover.
  • Arrival List Accuracy: If you use the arrival list option, cancelling the reservation will ensure the guest is removed from the list, keeping it up to date with only active bookings.
  • Pre-Arrival Emails: Guests with cancelled reservations will no longer receive pre-arrival emails, preventing confusion about their cancelled booking.

2. How to Cancel a Reservation

Follow these steps to cancel reservations through the Hoteliers.com dashboard:

  1. Log in to dashboard.hoteliers.com.
  2. Click on Bookings in the menu, followed by Direct Bookings.
  3. Search for the reservation by either the reservation number or guest name (you can find the search field on the right side of the screen).
  4. Click on the Booking ID or on Edit Booking.
  5. In the booking details, modify the status of the reservation:
    • Choose Cancelled by Hotel if the hotel cancels the booking.
    • Choose Cancelled by Guest if the guest cancels the reservation (this option is used most often).
  6. Click Save.
  7. Enter the reason for the cancellation and send the cancellation confirmation.

Note:

An email notification with the cancellation details and reason will be sent to both the guest and the hotel.
